Business Development Admin

Key Responsibilities

  • Prepare quarterly departmental reports and sales analysis (RA, PV, Translation)
  • Ensure invoicing accuracy through quarterly alignment meetings with Project Management and PV
  • Manage service agreement renewals and PO assignments for key clients
  • Provide Statements of Account and track outstanding invoices.
  • Collect and verify data in HubSpot/Flowlu; perform monthly system checks
  • Gather documents and Q reports for the accounting team (Malta).
  • Draft business proposals, quotations, and contracts, ensuring compliance with standards
  • Validate contracts and complete RFI/vendor qualification forms
  • Monitor pending confidentiality and commercial agreements weekly
  • Coordinate with departments on sales activities and contracts
  • Follow up on overdue payments
  • Manage calendar, schedule meetings, and maintain databases

Qualifications and Skills

  • Good command of English, both written and spoken
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Well-organized, attentive to details and customer oriented
  • Able to multitask and prioritize in a fast-paced environment
  • Able to work collaboratively in a cross-functional environment
